A wealth of retreats are available for consumers today, so it is more important than ever to plan an event that stands out. To us, a successful retreat means a well-planned event that leaves participants feeling they have attended a unique and life-changing experience worth their time and money and leave with unparalleled memories. However, the retreat should also support a leader's reputation and ongoing business and provide a healthy return for their shared time and expertise. We believe success isn't just about our facility thriving - retreat leaders should prosper and have fun with their clients, with as few headaches or unexpected upsets as possible. With years of experience in the industry of retreats, we have designed a retreat plan that makes it possible for leaders to earn a minimum of 10K for a 6-day event that is easy to fill, a benchmark that is achievable because teachers can offer their retreats at an affordable price, and need only a dozen participants to reach this goal. No longer will your profit dwindle because you fall short of attracting a required large number of participants or have to hard sell an event that is too costly for many of your regular clients. No sacrificing your profits on extended marketing to attract 20 - 30 attendees. No sharing a facility with other retreat groups or wondering what things will be like when you get to the destination. Better yet, with Heartwood in a safe and beautiful area of Florida, the potential obstacles of expensive plane fairs, needing passports, being in a vulnerable position in a foreign country, or being confused about who to trust or how to get to a destination never come up. Heartwood makes your event easy to attend, welcoming, original, and comfortable for you and your guests.
We are a small retreat center, not a huge convention hall or resort. As such, our retreats are private, and each group has exclusive use, so our scheduling allows only one retreat at a time. The most affordable option (daily) is to book an event that is 6 days and 5 nights. Of course, you can plan a shorter retreat, but the price is higher per day for a 3- or 4-night event.
Depending on the season, leaders will pay a fixed cost for the facility, which includes exclusive use of the lodge where participants gather, share meals, and relax, as well as all sleeping accommodations, kitchen, and use of the gardens, grounds, yoga center, pavilion, labyrinth, firepit, art room and more. (Taxes and a cleaning fee is additional.) Arrival begins 1 - 6 pm for groups on day one, and room checkout is at 10:00 am on your last day (but you can schedule activities at the center for longer. If the facility is available, we invite the retreat leader(s) to arrive the night before and stay on-site to prepare and get organized if this is helpful. Our retreat liaison will meet with you to make sure you are set up and ready for your guests.
You can charge whatever you wish for your event. We offer a retreat planning guide and easy planning Excel sheet so you can plug in costs and any essentials you need or want to add, and then you can adjust your retreat fee until you arrive at a number that you feel your clients will consider a bargain while still providing you the income you deserve. For example, if you charge $1,995.00 for the 6-day event and do much of the teaching but opt for a food plan, you easily make 10K with only 12 paid participants and two retreat leaders. Charge more, or attract more participants and your profit is higher (Charge an affordable $2,500 for the retreat, and you will make $16,000 - $21,000.) Fit more participants into your event (inviting some to stay off-site in the nearby hotel, or have couples share a private room) and you will make more as well since the facility rental is fixed. You can also opt to not use our food plan and do your own meal prep by bringing a cook with you, or cater in or plan excursions to nearby restaurants for fun. This can increase your profit too. Offer a special service, such as counseling, a certification program, or life coaching, and you will be able to charge much more, and the additional earnings will make your event more profitable, too.

If you have a service to offer at your retreat, such as teaching yoga or life coaching, the time will be filled with your training or coaching activities. Heartwood is also conducive to many inspirational wellness activities, from walking the labyrinth to leading nature meditations at the medicine wheel, garden activities, or fire ceremonies. No worries about planning activities that may or may not work when you are trying to plan a retreat at a place you are unfamiliar with. Our retreat liaison offers consultation, live webinars, and an inspirational course that shows you how to deliver heartfelt, meaningful activities at Heartwood. We will teach you how to lead others on an insightful labyrinth walk, do a fire ceremony, or make nature mandalas after a guided nature meditation. If you would rather hire an experienced instructor to guide the group in activities, we have a list of workshops, classes, and special events that you can book for your group at affordable rates. We also provide a comprehensive list of off-site activities you may include for your group, such as allocating a day to visit the beach, engage in watersports, cultural events, sightseeing, etc. Our list and recommendations provide endless possibilities for designing a retreat that will appeal to your target market.
The Heartwood facility offers a wealth of resources to support your wellness event, including singing bowls and sound instruments, yoga mats and props, seated meditation cushions, altar cloths and centerpieces, massage tables, audio/visual equipment for presentations, battery candles, tables and chairs, and more. Set up your spaces to be inviting, soulful and inspirational.
You can cook for your group using our state-of-the-art kitchens, (and to make this easy, we provide convenient easy recipes for healthy meals you can arrange for your group easily, and a list of local providers who cater if you wish to do some cooking, some ordering out and a meal or two purchased in restaurants during off-site excursions.
Or, if you want your time free for teaching or connecting with your clients you may opt for the meal plan @ 50.00 per person a day (the meal plan is free for 1 retreat leader per 6 paid students.)
A meal plan includes food for a self-serve continental breakfast (yogurts, hard-boiled eggs, breads, power bars, muffins, fruit, juice, quiche, etc.) and two prepared meals – lunch and dinner – (Vegetarian or Traditional). Snacks include fresh fruit, nuts, power bars, and chips, which are available all day. We provide menus in advance and can accommodate gluten-free or vegan diets. You may elect to use the food plan for part or all of your retreat days and we price & prorate accordingly.

We are currently designed for intimate retreats of 14 - 16 participants depending on how you allocate beds. More housing is coming soon, but for now, we have:
Sleeping Accommodations –
· Two Posh Dorm rooms with double and or single beds (9 spaces total) each bed with privacy curtains (these shared accommodations are lovely and feature beautiful bathrooms, decor, and comfortable bedding. A great chance for participants to connect.)
· 1 Double room with two queen beds / semi-private with a private bath.
· Resident RV (2 private spaces with a shared sitting room featuring 1 king bedroom and one queen bedroom with an additional single bunk bed available in the queen room if used for staff.)
· Another RV with a kitchenette, private sitting space, and 1 private king bedroom—there is space for two more to sleep in the pullouts in the living room.)
Bookings after Jan. 1, 2025, will have two more private rooms with queen beds and baths available. (You can charge a premium for the private spaces.)
We do not have additional private rooms available at this time (soon to come) but there are lovely hotels five minutes away from the center. We will arrange transport for your clients who wish to stay off-site site. You can add the cost of the room to your retreat fee and price your event accordingly for those wishing for private accommodations. (The average fee for 6 nights is $800-$995 which you can add to your package.) Transport is free.
Yes, we have a dedicated parking lot for our students to use. Retreat leaders who do not drive to the event may wish to rent a car to get supplies or for private use with the group.
Due to the size of the studio spaces and accommodations for eating and sleeping, we do not recommend retreats host more than 16 participants (plus two leaders- so 18 bodies.) If you have a reason to believe your event would be successful with more enrollees, please call us to discuss the possibilities.
We provide menu choices and you can select what meals are best for your target audience. Vegetarian and Vegan options are available. We often serve Indian dishes, organic salads and fresh soups, healthy pasta, Mexican dishes, family-style, and more. All meals are served family style in our beautiful lodge and include beverages and dessert.
We provide one scheduled trip as complimentary transportation from the Sarasota and Tampa airports on arrival day and checkout day. Usually, we suggest attendees schedule flights to be there by 4 pm for pick up, or they can arrange an Uber from either airport for $60 - $90 for late or early arrival. Additional pickups can be arranged for a fee.
Our calendar fills up many months in advance, and as a small and intimate retreat center, we cannot always rebook when late or unexpected cancellations occur. The only way we can offer so much value for such a reasonable price is to keep our space filled and our booking policy firm, so please consider the no-refund policy before booking.
It may take up to four months to market and fill a retreat, so start your planning early. Available dates are shown on the calendar below. You can secure an available date for your retreat with a nonrefundable $1,000 deposit. While the deposit is nonrefundable, we do allow retreat leaders to change a booking date to another available date if they discover a conflict. To change your date, we must be notified in writing at least 90 days (3 months) prior to your booked event.
Once you have made a deposit and secured a date for your event, we will arrange an hour-long private retreat planning consultation and give you access to our retreat activities course, financial planner, and marketing resources to help you plan a wonderful event. We are here to answer questions and advise you from this point forward. You can then market and sell your event to clients, take payments, and make exciting plans.
50% of the retreat fee balance is due 45 days before your retreat.
The full balance must be paid 10 days before your event. All fees paid are non-refundable.

If you are new to organizing or implementing a retreat or want something different, we are here to help. You will learn to lead new activities and be able to use these skills in future retreats at Heartwood or elsewhere. Our liaison will walk you through the planning process and help you make decisions that will ensure the best experience for your group. Below is a list of activities you can schedule for your group, or we will help you learn how to lead these activities independently with our retreat activity course for leaders who book our site.

The following are the fixed fees for the retreat facility. The total fee divided by anticipated participants (12) shows you the starting costs per person. Add your food plan and any outside services you wish to offer, and you can begin to see what your earnings will be after expenses (depending on how you price the event.) We help you budget and plan, starting with what you want to make, your travel & opportunity costs and other expenses to arrive at the right retreat fee for your desired results. We want to help you make decisions to earn what you deserve. There are no hidden fees and plenty of extras at Heartwood.
The all-inclusive rental for November through March for 5 nights and 6 days is $9,000 plus 12% tax and a one-time cleaning fee of $350.00. Total for the facility will be $10,430. Includes use of full facility with housing accommodations, airport pickup and retreat training/liaison.
Rates for a 4-night retreat are $8000 plus tax and cleaning fee = $9,310.
Rates for a 3-night retreat are $7,000. plus tax and cleaning fee = $8,190.

August through October is the rainy season in Florida, and the weather can be hot, so this is considered our "off-season." All our spaces are air-conditioned and comfortable, so this can still be a great time to book a retreat and enhance your earnings with nice savings (plus there are fun things to do in the area this time of year). Book August 1 to October 15 for an all-inclusive rental of $7,200 plus 12% tax for 5 nights and 6 days, plus and a one-time cleaning fee of $350.00. The total for the facility will be $8,414

Arrange for a private yoga class for your group that fits the theme and flavor of your retreat. You can choose restorative, gentle flow, aerial yoga, yoga nidra, yoga on the wheel, or a themed class that will not only relax and awaken your client’s energies but teach wellness concepts and supports your overall retreat intention.

Celebrate nature and feel the power of the medicine wheel with a gentle seated yoga class on the benches around the medicine wheel that combines nature meditation & earth awareness with movement. This class includes a fire ceremony and offers shamanic themes and practices.
2 hours - $200.00
While participants settle into restful positions, they are soothed by a beautiful sound bath that incorporates gongs, singing bowls, ocean drums, and other instruments to create a vibrational experience that balances subtle energies and engages the senses.
1 hour - $100.00 for the group.
This 2-hour candlelit labyrinth workshop offers participants a unique opportunity to learn about the ancient practice of walking the labyrinth as a tool for reflection and insight. The workshop includes an educational segment on the history and benefits of labyrinth walking, a guided walk on a 12-circuit labyrinth (by candlelight if scheduled in the evening), and a powerful fire-burning intention-setting ceremony.
2 hours - $200.00
This 3-hour SoulCollage® workshop invites participants to delve into their inner worlds using imagery to explore the diverse energies and facets of their unique selves. Through the creation of personal collages, participants will tap into their intuition, uncover hidden aspects of their psyche, and gain insights into their personal journeys. The workshop will blend creative expression, guided meditation, and group sharing to foster a deep sense of connection and self-discovery.
3 hours - $200.00 (includes materials for up to 16 participants)
This immersive 3-hour journaling workshop is designed to guide participants through a series of creative techniques and exercises to expand self-awareness and find emotional balance. The workshop will combine guided prompts, interactive activities, and reflective discussions to help individuals tap into their inner worlds and harness the power of journaling for personal growth. Based on teachings from the book The Enlightened Writer, and taught by the author and Heartwood's owner, Ginny Shaddock.
3 hours - $200
A certified nature therapy guide leads your group through Heartwood's gardens and grounds for a mindfulness meditation walk to connect with the spirits of nature. The session is followed by tea and a discussion to expand awareness.

Our Mala Workshop includes a presentation on the history and meaning of malas and Japa mala meditation followed by a well-guided workshop where everyone designs and crafts their own hand-tied mala. A wealth of materials is offered with sandalwood beads, gemstones, and decorative charms, so each participant leaves with an original mala they can use and wear.
3 to 3.5 hours - $200.00 plus a materials fee of 10.00 per student.
We have a variety of mindful art projects your group will love, from drawing mandalas for inner peace, making dream catchers, painting gratitude rocks, creating vision boards or other creative meaningful activities.

Let us know the theme of your retreat and we will suggest a unique workshop experience that enhances your event. Women's empowerment workshops, chakra workshops, mandala workshops, days of silence, self-love, ayurveda, health and wellness practices, essential oils, seasonal celebrations, reiki, and more. We will work with you to design a special workshop for your retreat that is memorable and unique. Time and price vary depending upon selection. Average fee is $100 per hour.
You can invite your participants to book massages during the retreat or include one complimentary session per attendee with your package and schedule the appointment in advance around your other activities. Services include Swedish, ayurvedic massage, craniosacral therapy, reiki, and other specialty services.

Delight your clients with a fun photo shoot around the gardens and grounds of Heartwood. We capture the serenity and natural essence of our subjects in meditative, attractive poses, and supply you with a file of several hundred pictures of your clients situated around the backdrop of beautiful Heartwood. Your clients can post and share the pictures (promoting you and your event) and download them to serve as a keepsake for the event.
